Payroll horror stories: mistakes are scarier than ghosts!


A terrible chill hung in the air.

As autumn evenings fall, the unexpected things that go bump in the night are on our minds.

However, some of the scariest stories don’t come from haunted houses, but rather from workplaces.

I’m talking about payroll horror stories!

A simple mistake can have dire consequences, leaving you in a mess that would make any ghost shudder.

First story: fear of social engineering

While scammers may not be as scary as chainsaw-wielding criminals, they can spell disaster for a business.

In our first story, we started with a seemingly innocent email.

The letter arrived in the payroll manager’s inbox, just like any other day.

The sender? Their Managing Director (or so it seems).

The email was marked ‘URGENT’, and the Director frantically explained that they were about to board a plane and needed an immediate one-time payment sent to the new supplier.

Attached is a legitimate looking invoice, complete with new bank details.

Wanting to help, the payroll manager acted quickly.

A few days later, the real Managing Director casually asked what payment they were expecting.

Confused, the payroll manager mentioned an urgent transfer that had been made earlier in the week.

A terrible silence fell, then came the terrible words: “I never sent that email.”

The realization came out of nowhere – the email was a social engineering scam carefully designed to exploit trust.

How to avoid this scam

With the rise of Artificial Intelligence (AI), these scams are becoming increasingly sophisticated, leaving even the most careful people vulnerable.

Here’s how you can strengthen your defenses against these clever scams:

  • Double check everything: Before taking action, always verify payment change requests or urgent payments. Social engineering scams often use urgency as a way to rush you into something wrong. If you receive a strange email or message, call to confirm. If that’s the call you receive, send a confirmation email or chat message. Also, don’t forget the cardinal rule of always avoiding suspicious links or attachments.
  • Self-Service: Payroll professionals can take further precautions by integrating their payroll and human resources systems. This integration means data is shared between systems without requiring manual intervention and features like self-service mean employees can update their own records, meaning no more ad-hoc requests to change details.

Second story: bad admin

I have one word for you: admin.

Argh!
